King Khalid University Vice - President for Development and Quality, Dr. Ahmed Yahya Aljbaili has reported that the Archive section in each governmental entity is considered a terrible burden on governmental entities. He stated that the section misuses a lot of money, time and effort of a number of employees, whom the governmental entities, within their various departments, are in need for their services. The Vice - President added that within the information era and versatile applications, the electronic archiving appeared as an alternative application. The booming application works on storing files and documents via the scanner and modern techniques. Therefore, files and documents could be saved as an integrated and interdependent whole, and in a manner that is commensurate with the importance of the document, its contents and how to retrieve it; it is the best mechanism to save, store and retrieve files and documents in an easy and flexible manner.

This was stated during the Vice - President's inauguration of the second phase of the administrative communications system called "Enjaz", e-Archiving. In this phase, 38 entities of the University were trained on how to deal with official documents at the university according to the rules and regulations of that organization. Moreover, they were trained on the electronic system which is used for electronic archiving. Training was carried out by the Documentation and administrative communications Center of the university, and was held over 8 days.

Dr. Aljbaili indicated that electronic archiving has many advantages: It protect files and documents from loss or damage, which always happens in the traditional archiving;  it has easy and multiple ways to search for any file or document, by name or number, or by topic…etc. Additionally, e-Archiving enables fast and direct retrieval for any file or document in an easy and flexible manner. It also has the possibility of converting the files or documents to databases, which could be used as a reference when needed. He Said, "The electronic archive is vital for work environment for any institution or facility, because of the large benefits gained through it. E-Archiving saves the space occupied by the traditional archiving, and there is a possibility to link all parts of an institution with each other, wherever its branches. He concluded by saying that it has become imperative for each organization - governmental or private - to keep pace with current changes and to turn to electronic archiving in order to achieve tasks properly and help the stakeholders.
